Introduction

Arena 360 is a highly configurable government relations app that may be tailored to the needs of specific user personas within your organization. Your organization may publish multiple Arena 360 Apps simultaneously to specific user groups.

Why is it Called Arena?

Arena implies a defined area where dedicated and purposeful action takes place that is visible to spectators.  The spirit of the app is captured within a speech by President Theodore Roosevelt entitled “Citizenship in a Republic” delivered in Paris, France in 1910.   A much sited passage, by Presidents, athletes, business people and academics, is commonly referred to as “The Man in the Arena.”  

It is not the critic who counts; not the man who points out how the strong man stumbles, or where the doer of deeds could have done them better. The credit belongs to the man who is actually in the arena, whose face is marred by dust and sweat and blood; who strives valiantly; who errs, who comes short again and again, because there is no effort without error and shortcoming; but who does actually strive to do the deeds; who knows great enthusiasms, the great devotions; who spends himself in a worthy cause; who at the best knows in the end the triumph of high achievement, and who at the worst, if he fails, at least fails while daring greatly, so that his place shall never be with those cold and timid souls who neither know victory nor defeat.

The App is designed to support our clients who spend their energies associated with these worthy causes.

Arena 360 User Experience

Quick Intro to Setting up Valid User

Your organization may maintain one or more Arena 360 Apps as necessary to meet the needs of your stakeholders or user personas. 

Arena 360 Users are associated to an Individual Group within Aristotle 360. Each Arena 360 App is linked to a specific Individual Group within the User Setting. Only Active individual records associated to the group can gain access to the App.

In order to have access to the App the individual’s record must maintain the same Individual Group value as set within the User Setting within Arena 360 Setup.

Quick Intro to Setting up Valid User

Arena 360 Users are associated to an Individual Group within Aristotle 360. Each Arena 360 App is linked to a specific Individual Group within the User Setting. Only Active individual records associated to the group can gain access to the App.  In order to have access to the App the individual’s record must maintain the same Individual Group value as set within the User Setting within Arena 360 Setup.

Serializing Users for Arena 360

All users are required to setup a Password the first time they attempt to access the Arena site. 

The Arena user will receive a link via email that will direct them to the Site where they will be required to create a password.  If an advocate has been granted access to multiple Arena 360 Apps, within the same client account,  only a single password is needed.

Password Requirements

A valid Arena 360 Password may include the following:

At Least 8 Characters in Length

Lowercase Letter

Uppercase Letter

Numbers

Special Characters

Note:

Only a single password is needed for users that have been granted access to multiple Arena 360 Apps

The create password link will be disabled in the following scenarios:

After password has been created

If the Email has been forwarded

If the link has not been acted on within 48 hours

A Forgot Password/Reset feature is available on the Login Screen

Once Password has been successfully entered the user may login and begin exploring the Arena 360 App.

Getting To Know ARENA 360

Home Page

Home Page- The home will reflect all options enabled by the administrator and will incorporate all branding standards they have implemented.

Legislator Search – User may search for Legislator(s). There are a variety of filters available to the end user

Legislation Search – This option permits users to search for all tracked Bills within their Aristotle 360 Account.

Activities – User may access upcoming activities that are in an Open state and create new activities between User and Legislators/staffers/individuals present within Aristotle 360.

Latest Search(es) and Upcoming Activities -

Provide users with a quick shortcut to 5 Legislator, 5 Bill results and upcoming activities.

Home Page Logo “Black Harp in this example”– Serves as a shortcut back to the Home Page.

Hamburger Menu – Provides a drop down menu of the following:

Select Legislator Search to find Federal and State Legislators

Legislator Search provides a variety of ways to find your Legislators.  We support the following Searches:

First Name

Last Name

Level

Federal

State

Local

State – Requires Legislator Last Name or Level to make searching more efficient

District – Requires State Selection

Committee – It is recommend you apply Level and/or State filter to assist in efficiently finding the proper Committee

Sub-Committee – It is recommend you apply Level and/or State Filter to assist in finding the proper Sub-Committee

After entering in your criteria the results list will be displayed. Press View Profile and his/her detailed record will be displayed.

Legislator Record

The record will a complete record of your interactions and relationships with the Legislator.  The details include:

Activities – All Activities are displayed as well as the ability to create new Activities

Footprint (Asset Data) –This asset information will reflect Custom Data highlighting your organization’s impact within the Legislator’s District

Political Spend – Will detail political contributions made to committees (Principle, Authorized and Leadership PACs) authorized by the Legislator.

Biography – Narrative data published about the Legislator.

Personal Information – Will highlight the following information when available:

Race/Ethnicity

Birthdate

Marital Status

Religion

Education

Previous Occupation

Legislator’s Contact – Note your phone’s native dialer, Email and Mapping capabilities will interact with relevant data points:

Phone

Fax

Website

Official’s Staff – Note your phone’s native dialer and email will interact with relevant data points.

Bills and Votes – Will present Bills and Key Votes tracked within the Aristotle 360 database. Note: Tracked Bills will link directly to Bill details and associated Key Vote.

Legislation Search

The default view will present a list of all tracked Bills from your Aristotle 360 system. You can easily filter the Bills list using the following filters:

Keyword

Bill Number

Level

Federal

State

Local

Session – Dependent on State field being Selected

Position – Custom designation on your organization’s position relates to the legislation. Dependent on Level being selected

For

Against

Monitoring (Neutral)

Bill Detail

Bill information will reflect standard and custom Bill details managed by your government affairs team including custom Bill names, position and Bill Comments.  It will also provide Vote detail based on any vote linked to the Bill within Aristotle 360.

Once a Bill Is selected (View Bill) you can access a variety of information related to the Bill.  This includes:

Bill Title – Bill Title from Legislation or a custom Bill Name tracked within Aristotle 360

Bill Number

Introduction Date

Last Action Date

Last Action

Sponsor- This is the Primary Sponsor of the Legislation

Session – This is the session the Bill was addressed in at the Federal or State Level.

Position – This is the position expressed by your organization

Comments – These would reflect Custom Bill narrative published by your Government Affairs team within Aristotle 360

Sponsor & Co-Sponsor – this provides a list of sponsors/cosponsors of the Bill.

Legislator’s name will typically appear as a blue hyperlink indicating that user may link to the Legislator’s detailed record

If Legislator’s name appears in black the underlying data did not match to a record so user will not be able to link to the legislator record

Vote – Any Key vote linked to the Bill within Aristotle 360.

Vote(s) Card May be displayed if Key vote is linked to Bill

Vote Cared will display the following:

Vote Name or Custom Vote Name if Present

Vote Date

Roll Call Number

Vote Result

Organization’s position on Vote

Vote Summary

Legislator’s Vote/Party District

Vote Details – Expanded View

The expanded view (click down arrow) will provide even greater insight into the Vote.  In addition to the information above it will also provide the following:

Custom Description – This is the custom description created within Aristotle 360 and provides the Organization’s viewpoint on the legislation

Question: This is the formal question that the Vote was addressing.

List of Voters – It will detail each legislator’s vote and party identification.

Activities

Arena 360 supports the ability to create new activities as well as manage Open activities.

The Activity Button will alert user if there are any Open Activities that requires attention by the user both in the button: 1) Enumerating number of open activities in the Activities Button and 2) Within the Upcoming Activities section at the bottom of the Home Page.

To access an Open Activity the user may select Activities button to see a list of Open Activities and select or if the activity is displayed within the lower panel may click and Open the activity directly.

Activity Creation

An Activity may be created in a variety of ways. An activity can be created within Aristotle 360 database or within the Arena 360 App. 

Creating an Activity within Arena 360

Hamburger Menu:

In Arena 360 you may select the Hamburger Menu within the Top Right Hand Navigation Bar and select “Add Activity”.

Once Selected the Add Activity User Interface will be displayed.

Add New Activity Button:

Select the Activity Button and a list of all open activities will be displayed. Select the “+” button on the page and the Add Activity User Interface will be displayed.

Activity User Interface

The user can add four types of Activities by clicking on the appropriate activity type and the select will be highlighted. The activity types supported are Appointment, Call, Email and Task. 

Arena 360 will leverage the native Date/Time picker from your mobile device.

The App will allow you to capture the following fields:

Date – Start and End Date

Time – Start and End Time

Subject

Event Location – This will be used for Appointment Invites but will not be recorded to Aristotle 360

Organizer – Will be auto-filed by the App for the logged in User. Additional “Organizers” may be added

Attendees – Attendees would be individual participating in your activity. You may include any of the following types of individuals:

Staff (Legislative Staff linked to a Legislator)

Individuals (Non-Legislators/Staff who are in your Aristotle 360 database)

Legislators

Bill/Number/Name (Optional) – You may link a specific Bill to your Activity.

Issue (Optional) – You may link a specific Issue to your activity.

Notes/Description – You can provide information about a meeting and also have other Arena users input their descriptions.

Status – a variety of statuses(Open/Close)  that are attributed to specific activity types.

Activity Example

The example activity displayed shows a saved activity.  Please note that you can still edit the activity as well as send a calendar invite using Arena 360.

The Icons reflect the following:

Field may be edited by clicking icon

Add additional Organizers or Attendees by clicking icon, typing in new participant and then clicking Grey X to close edit field

By clicking Send Invite and Calendar Invite will be sent via email to all Organizers and participants with the exception of Legislators

Adding an Organizer or Attendee

To add an organizer or attendee do the following:

New Activity

Organizer – Restricted to Individuals in Aristotle 360

Click the field beneath Organizer and start typing first name and last initial

Select from List

You will Notice Individual is now in grey box next to original organizer

To remove click “x”

Save Activity

Attendees –

Click Box to select Staff/Individual/Legislator

Type Attendee Name

Select from List

You will notice new Attendee is now in grey box

To remove click “x”

Sending an Appointment Invite

After creating an activity you may send an iCal invite after saving. We have restricted the App to prevent sending to Legislators. Typically a Legislator schedules their calendar through staff so we didn’t want to inadvertently facilitate issues related to scheduling.

Steps to Sending Appointment

  1. Create Activity
  2. Select “Send Invite”
  3. See Confirmation Message and Button State changed to “Send Invite – Email Sent”
