Hot Tip – Copy Contact Info for Spouse

 

When linking a spouse, you may discover that the husband or wife is not in the database. Did you know that you can create a new record while using the Link to Spouse feature?

 

  1. Start at the individual record for the spouse that is in the database.

  2. Go to the General Information box and under URL address box, click on Link To Spouse.

     

 

  1. This will take you to the Individual Search – for Spouse screen so that you may search for the other record for the other spouse.  The last name will be populated with the last name of the record you just came from, type in the first name and click Search.

     

  1. If there is an existing record, then click on Set as Spouse link.   If there is not an existing record, then click on the second box below the results box on the page called, Add & Copy Contact Info.   

     

 

  1. This creates a new Individual record for the spouse that does not exist as well as copy the contact information (phones, emails, & addresses) from the existing spouse’s record.  This will save time entering the information to the new spouses record, however, make sure that you have the correct contact information for the new spouse’s record, like phones & emails.

 

  1. Once you entered in any additional information for the new spouse’s record, click on Save & Set as Spouse. 

     

  1. This will take you to a screen so that you may select the primary address for the couple.

     

  1. Once you selected the primary address, click on the Finish button at the top of the page.

  2. This will take you to then view the Couples Information. Within the Couple Information box, it will allow you to add any particular mail names or salutation names that you want especially for the couple for any letters or emails that they might receive. Review the page, make any changes and click Save Changes. You may then click on the Back button (not the browser button but the link in BackOffice) to get you to the record you began with.
