Administrative Reports

The following System Reports do not include financial data or activity.
Address & Phone List

Report Content & Attributes: Record Name, Address, e-mail Address, all available Phone Numbers.
Report includes a small area for hand written notes.
This is an excellent report to use when dialing for dollars. The layout provides the area for
the user to jot down notes or pledged amounts. Report includes the date the Report was
generated and the total number of Reports included in the Report.

Address & Phone (Alternate)

Report Content & Attributes: Record Name, Address, E-mail Address, all available Phone Numb ers.
Report includes a small area for hand-written notes.
This Report format assigns an ID number to each Record from the Current Selection listed
on the Report. This Report is helpful when you wan to split the number of calls among
several people or be able to quickly identify individuals on a long list.

Address And Phone With Bar-Code

Report Content & Attributes: Record Name, Address, E-mail Address, all available Phone Numb ers.
Report includes a small area for hand-written notes.
This report may be used in conjunction with the Bar-code Scanning Input routine (requiring
additional programming work done by Aristotle at an extra charge) to add Issues to
Records automatically.

Detailed Report of Records

Report Content & Attributes: Mail name, Home Address, Work Address, Mail Address, all available
Phone Numbers, Affiliation, Origin, Sex, Employer, Occupation, E-mail, and detailed information from
selected Subfile(s).
The Detailed Report of Records enables you to include information from the Master Edit screen
as well as Subfiles. This report is especially helpful, for example, if you wish to create a report
that delineates an individual’s contribution history and includes the notes attached to the person’s
Record. Due to the large amount of information, this Report may print many pages. 
 
NOTE: The Detailed Report of Records prints directly to the printer. Previewing prior to
printing is not an option. The Phone List Report is very similar and allows you to preview it
before printing, which will give you an idea of how much output to expect from this report.

Step-by-Step…
1.  Select the Subfiles to include in the Report.
 
2.  Select the date range for the Subfiles .
 
3.  To start each Master Record on a new page, click the checkbox.
 
4.  Click OK.

Issue Counts

Report Content & Attributes: Issue Description, Issue Count, Total Issue Count. Report offers to scan
entire Dataset or only Current Selection.
The Issue Counts Report delineates each Issue and calculates the number of Subfile entries for
each Issue. Your only decision is whether you wish to include the entire Dataset or the only
Current Selection.

Logged Mail Report

Report Content & Attributes: record ID Number, voter ID Number, Last Name, first Name, Date
Received, Date Sent, Letter Status, Letter Name, Issue Entry, Staff Member, turnaround Time (in
days).
The Logged Mail Report shows letters that have been logged in the Issues Subfile. You can
choose a date range and whether to include mail marked Hold, Sent, Logged, or entered in a
Batch. You can choose to include all Issues on the Report or only selected Issues.

Phone List

Report Content & Attributes: Mail Name, Home Address, Work Address, Mail Address, all available
Phone Numbers, Affiliation, Origin, Sex, Employer, Occupation, E-mail, and detailed information from
selected Subfile(s).
The Phone List Report is similar to the Detailed Report of Records as this Report may include
Subfile detail. However, this Report can be previewed prior to printing. This report also includes
the Record ID as a barcode for each Record.

Reminders Report

Report Content & Attributes: Record Name, Home Phone, Work Phone, and Reminder Sub file Entry.
The Reminders Report lists the Name, Home and Work Phone numbers, and reminder messages
for Records that have been tagged with a reminder within the selected date range.
